YouCanBookMe User Roles (V2)

YouCanBookMe has four user roles: Account Owner, Administrator, Editor, and Contributor. This article describes what each role can do, how to change roles, and how to add or remove users.

Role descriptions in detail

Organization Owner

There is one Organization Owner per YouCanBookMe Organization Account. The Owner has full access to all booking pages, booking data, and billing information. They can transfer ownership by updating the account email address to someone who does not have an existing YouCanBookMe account.

Administrator

Administrators have access to everything in the account except billing. In v2, Administrators can:

  • View, create, and edit all booking pages

  • Create and manage org-level Appointment Types (Org Settings > Appointment Types)

  • Create and manage Resources (Org Settings > Resources)

  • Invite team members, update roles, and remove members from the account

  • Set any team member online or offline

  • View and export bookings across all pages

  • Assign booking pages to Editors

  • Access org-level analytics

Editor

Editors can access only the booking pages the Account Owner or an Administrator has specifically assigned to them. Editors can:

  • Edit settings on their assigned booking pages

  • Create and manage Collections on their assigned pages

  • View, cancel, reschedule, and rebook bookings on their assigned pages

  • Manage their own User Profile (calendars, working hours, video conferencing)

Editors cannot create, delete, or copy booking pages, and cannot access booking pages not assigned to them.

Contributor

Contributors participate in booking pages — their User Profile is linked to pages by an Admin or Owner — but they do not have access to edit booking pages or view account-wide settings. Contributors can:

  • Set up and manage their own User Profile (calendars, working hours, timezone, video conferencing)

  • Manage their own integrations (Zoom, calendar accounts) in User Profile > Integrations

  • View bookings they have received on their calendar

Change a team member's role

  1. Go to Members.

  2. Click the role.

  3. Select the new role from the role dropdown. Changes take effect immediately.

To assign booking pages to an Editor after changing their role, see Assign booking pages to an Editor.

Add or remove team members

To add: go to Members > Invite members. Enter email addresses and select the role. The team member will receive an invitation email and be guided through User Profile setup when they accept.

To remove: open the team member's record, click the three-dot menu and select Remove member. Removing a member unlinks them from all booking pages. Existing bookings are not cancelled.

More information on managing members here.

Tip: Consider Deactivating a team member rather than Removing them if you may want to reactivate them in future. Deactivated members remain in your account and their booking history is preserved.
