Linking Team Members with Resources in Collections (V2)
You can use the Collections feature to link people and resources together - either 1-1 or randomly assigned.
Resources and Collections are available on the latest version of YCBM (V2) , released in September 2026. You can check which version you are on by looking at the footer of your account.
Why Use Resources in Collections?
Setting up a booking page with a group of Team Members and a group of Resources will allow you to ensure every meeting has what it needs without any extra steps.
- A room for every meeting: Acme Legal has 6 lawyers but only 4 meeting rooms. Make sure every person has a room to meet in by setting up random or round robin allocation of both Team Members and Resources.
- A resource for every meeting: Teachers might need a laptop cart, a pottery wheel, or lacrosse kit to deliver their lesson. Make sure you can't be booked without the resource you need.
How to Create Collections for Resources
After creating your Resources in the Organization section of your account (details here), head to the Participants tab of the booking page you are using. Under the Resources tab, click on the + sign to add a Resource.
Add Resources
Click on the + sign and start typing the names of the resources you want to add. Add as many as you need into the box, then select Update.
Just like with Team members, you can decide how your Resources will be selected for your booking.
Combine with Team Members
When you have both Resources and Team Members added to your booking page, YCBM will follow the set allocation rules for each category.
- You could display the list of Team Members and the list of Resources. Bookers would have two pages to select from, one after the other before seeing the available dates & times.
- You might display the list of Team Members (booker decides allocation strategy) and have Resources assigned automatically (auto assign allocation strategy). Bookers would choose the person, but not the resource, before selecting a date & time.
- You might automatically assign the Team Members, but let the booker select the Resource. Bookers would not see the list of people, but they would see the Resource list before selecting a date & time.
- You could have YCBM automatically assign both. The Booker would only select the date and time; YCBM would do the rest!
