Resources (V2)

Resources are the way to manage scheduling things instead of people. Meeting rooms, equipment, facilities - anything with a calendar can be set up as a Resource, managed separately from your team, and booked automatically alongside the people who need them.


Why Use Resources

Resources come in handy whenever you need to schedule something other than a person.   

  • Auto-assign or let the booker choose. You can have Resources assigned automatically, or let the booker select the one they want — with a name, image, and description to help them decide.
  • Different locations or Hybrid schedules. If your team works out of different offices you can set each one as a Resource with a separate calendar for bookers to choose from. If you are the only one being booked, and moving between locations on a hybrid schedule, link the Resources to the same calendar.
  • Pair with team members seamlessly. Need to book Jenny and a meeting room together? Create a booking page that requires both to be free for a slot to show as available. One booking, everything confirmed.

  • Mix and match at scale. Got four team members and three conference rooms? Combine Resources and team members on the same booking page and let YCBM handle the logistics.

How to Create Resources

Account Owners and Admins can create Resources. They are created at organization level so if you make changes to one, it will update across every booking page it is a part of. 

To add Resources to your account, head to your Organization settings > Resources. Or click here.  

Select Create Resource. 

  1. Add the name, include an image or a description if you want to give bookers the choice. 
  2. Select the calendar that will hold the availability for the Resource. 

  3. Add the location or the video conferencing tool for the Resource

Adding Resources to a Booking Page

Resources can be added to the Booking page under the Participants tab of the booking page settings. 

Select the Resources tab, then select + Add resource. In the pop-up box, start typing the name of the resources you want. You can select as many as you need to in this box, then click Update to add them all at once.

Booker Select - show all the options on a single page, with images and description, so the booker can choose the resource they would like. Great for meeting rooms or property showings.

After adding the resources, select your preference for how the Resource is chosen. It can be automatically assigned, or the booker can choose. 


  • Select Booker decides to include a 'no preference' option if you want. If this is the first page your booker sees, you can also add an introduction to the page to give instructions. 

Automatically Assign - have the resource assigned automatically. Perfect for if you need to assign a meeting room or equipment to a meeting, but it doesn't matter which is chosen. For example, if you have 5 team members and 3 meeting rooms, YCBM will make sure no team member can be booked without a room to meet in.

  • Select Automatically assign resource and set how many are required in that selection. 

Using Resources 

You can use Resources in conjunction with Team members to make sure every meeting has a required resource. You can read more about that here. 

Selected resources will show up in booking details and your bookings export. You'll also find the most booked resource in the Analytics section of your account.  




FAQs

How many Resources can I add to my account?  

Resources can be added to any paid account on the latest version of YCBM.  The number you can add depends on your subscription:

What calendars can I connect to Resources?

Any Google calendar can be connected as a Resource target calendar, this includes any calendar you have permission to view and modify. With Microsoft calendars, only when the Resource is a host can a sub calendar be used. All other bookings will default to the main email that was integrated.
