Meeting Polls FAQs

Are Meeting Polls available to all YCBM users?

Yes, anyone with a YCBM account can access the Meeting Polls feature. The number of active polls you can have at one time is set by your account subscription plan:

  • Free plan 1 active poll
  • Individual plan 3 active polls 
  • Profesional plan 20 active polls
  • Team plan 50 active polls

What if I need to make a change to a Poll that I have created and shared with participants? 

You can make changes to any Pending poll (this means you haven't finalized the poll by confirming a time). 

To make a change, click on the poll on your Poll Dashboard, or click on the three dots next to it. Select Edit Settings. 

You can change the Poll details including the title, description, duration and location. You can also add new proposed times, but you cannot delete existing proposed times. 

Note: If you change the duration of the Poll, all existing proposed times will adjust. For example, if the poll originally proposed 1 hour time slots, and you change the duration to 2 hours, all of the proposed slots will extend to 120 minutes.  


Can I save a draft of a poll without sharing it?

Absolutely! If you need to leave the poll and come back to it later, just click Create & Share. You can dismiss the share options and come back to it later. You'll see it listed as Pending on your Poll Dashboard,. 

When you're ready to share the poll with participants, click on the poll name, or the three dots, to Share and Invite

 


Why is my poll closed? 

There are two ways a poll can be closed:

  1. Manually by the Owner: When you decide the date and time for your event, you close the poll. It will be marked as Booked.

  2. Automatically When it Expires: A poll will automatically close on the first day offered as an option. No one will be able to respond after that time. It will be marked as Closed.


Can I re-open a poll that has been closed? 

While our Polls feature is in Beta we are working to improve it's functionality. It isn't currently possible to re-open a closed poll, but this will be possible in the near future.


What happens if someone tries to access the poll after I have picked a date/time and finalized it?

When you confirm a time, that closes the poll. Anyone who tries to use the link after that will see a message that it has been scheduled. 

 


How does the meeting go into my calendar?

When you finalize your poll by selecting the date, YCBM will add the event to the calendar connected to your YCBM account. This can be a Google, Microsoft or Apple calendar. Please note, if you are using YCBM's internal calendar we will not be able to add the event. 

Anyone who has responded to the poll can be added as a guest to the calendar event. 

The title of the poll will become the title of the calendar event. If you add a description, that will be added as the calendar event description. If you add a location, that will be added as the event location.



What notifications do I and my guests get?

You can make sure you're aware of the responses to your poll by activating notifications. You can choose to:

  • Get alerted when a new response comes in
  • Get alerted when someone adds a comment  
  • Email the participant to confirm their response
  • Alert the participant to time and date of the finalized meeting
  • Alert the participant when the poll could not be finalized

Only invitees who have responded to the poll will receive notifications about the finalized meeting.


What is a Private Poll?

A private poll is one that participants have to be invited to.  If you share the link with someone that hasn't been invited on the Share & Invite tab, they will not be able to add their response. 


Can my participants edit their response after submitting?

Yes. As long as the poll hasn't been closed, they will be able to edit their response. They can use the link that shows when they first respond. Or they can use the same link that was in their invitation. 



Can I change who is allowed to respond?  

As long as the poll is still open, you can add or remove people to the invitation list on the Share & Invite tab.
