Share static video links for your appointments (V2)
A static video link is a fixed link shared with every booker — everyone gets the same URL to join the meeting. This is different from unique links (Zoom, Google Meet, Microsoft Teams), which generate a new link per booking.
Available on: All plans
Static links are ideal for group webinars, recurring open office hours, or situations where you want all participants joining the same virtual room.
In YouCanBookMe V2, static video links are configured in your User Profile, not on the booking page.
Set your static video link in User Profile
To set a static meeting link:
Click your profile avatar in the top-right corner and select User Profile.
Go to Profile > Video Conferencing.
Under Static Link, enter your fixed video link (e.g. your Webex room URL, GoToMeeting link, or any video conferencing URL).
Save your changes.
This link will be used for all booking pages where you are a participant and the Appointment Type is set to use the host's video conferencing.
💡 Each team member sets their own static link in their own User Profile. For team booking pages, the static link used will be that of whichever team member is assigned as the host for that booking.
Add the static link to Appointment Types
Similar to User Profiles you can add a static link to an Appointment Type location.
Go to Org Settings > Appointment Types
Click the three dots and edit next to the Appointment Type
Under location choose Fixed video conferencing link, enter your fixed video link (e.g. your Webex room URL, GoToMeeting link, or any video conferencing URL).
Save your changes.
Add the static link to notification emails
Your static link is automatically included in calendar events when you use the video conferencing location option on your Appointment Type. To also include it in confirmation or reminder emails, use the shorthand code {LOCATION} in your email template — this will insert whatever location is set on the Appointment Type for that booking.
Alternatively, you can manually paste your static link as hyperlinked text in your email template using the link icon in the notification editor.
Using Zapier to generate a unique link per booking
If you are using a video conferencing tool that doesn't integrate natively with YouCanBookMe (such as GoToMeeting or Livestorm), you can use Zapier to automatically generate a new meeting link for each booking. Note that since the confirmation email goes out immediately when a booking is made, the unique link cannot be included in the initial confirmation email — you would need to send a follow-up email or update the calendar event separately.
