How to set up a Hybrid Schedule (V2)
If you work from home some days of the week, and in an office on the others, you can easily set up your YCBM booking page so that bookers know exactly where they will be meeting with you.
This page is about setting up a Hybrid Schedule on the new version of YCBM, released in September 2026. If you are on the Classic version, please see this page instead. You can check which version you are on by looking at the footer of your account.
This set up uses multiple Appointment Types; it is available on the Individual, Professional and Team plans.
Setting up a Hybrid Schedule
Each Appointment Type on your organization can have its own location preference, so it's easy to pinpoint the availability and the location of each option you offer.
1. Go to the Preferences tab of your User Profile (or click here) and enter the two Meeting Preferences options for your hybrid schedule. For the online meeting, select the video conferencing tool that you use. (Google Meet is automatically available for anyone using Google calendar; Teams is automatically available for anyone using Outlook; Zoom can be integrated by any user). For in-person meetings, enter the location address.
2. Next head to the Appointment Types tab on your organization setting (or click here). Edit your default appointment type to be for one of the hybrid options. In the example below, it is an In-person meeting. It is a 30 minute meeting, and the location is set to "Preferred meeting location". Note at the bottom that it is only available to be booked Tuesday-Thursday, when you're in the office.
Create the second appointment type for the next option. For example, "Online meeting". For this, you would select the option "Preferred video conference and you might make that option available Monday-Friday because you can do online meetings every day of the week. Or you could set it to just be for the days when you're working from home.
3. Now head to your booking page. On the Duration & Location tab, add both Appointment Types and set the Appointment Type display to "Listed as a separate page". In the Appointment Type intro section, you can add any text to help bookers choose.
That's it! Now your bookers can select the type of meeting they would prefer, and YCBM will only show the times that that option is available. The correct location will be automatically added to the calendar event and notification emails depending on which one they chose.
